This policy explains how Colby AI, Inc. collects, uses, protects, and shares information when providing software, automations, integrations, and related services.

1. Information we collect

We collect information you provide directly, including name, email address, phone number, company information, project details, support requests, and communications with Colby.

We may collect business records and operational data that you choose to connect to or submit through the software, including customer records, estimates, invoices, work orders, messages, documents, and integration metadata.

We also collect technical information such as device and browser information, IP address, log data, usage events, and diagnostic data needed to operate, secure, and improve the software.

2. How we use information

We use information to provide and maintain the software, authenticate users, deliver requested workflows, connect to authorized third-party systems, troubleshoot issues, improve reliability, communicate with you, and meet legal or security obligations.

We do not sell personal information. We do not use customer business data to build public data products.

3. Connected services

If you authorize a connection to a third-party service, Colby may access and process information from that service as needed to perform the workflow you requested. This may include data from accounting, CRM, communication, storage, analytics, or AI platforms.

You can revoke access through the third-party service or by contacting Colby, subject to any technical and contractual limitations of that provider.

4. Sharing

We share information with service providers and subprocessors that help us host, secure, deliver, support, analyze, or improve the software. These providers may only use information for the services they provide to Colby.

We may disclose information if required by law, to protect rights and safety, to prevent abuse or fraud, or in connection with a merger, acquisition, financing, or sale of business assets.

5. Security

We use administrative, technical, and organizational measures designed to protect information against unauthorized access, loss, misuse, or alteration. No method of transmission or storage is completely secure.

6. Retention

We retain information for as long as needed to provide the software and services, comply with legal obligations, resolve disputes, enforce agreements, maintain security, and support legitimate business operations.

7. Your choices

You may request access, correction, export, or deletion of personal information by contacting Colby. We may need to verify your request and may retain certain information where required or permitted by law.

You may unsubscribe from marketing emails by using the unsubscribe link in those messages or by contacting us.

8. Children

Colby software is intended for business use and is not directed to children under 13. We do not knowingly collect personal information from children under 13.

9. Changes

We may update this policy from time to time. When we do, we will update the effective date above. Material changes may be communicated through the software or by email when appropriate.
