We replaced an Excel pricing model and a paper intake form with a quoting app the operators run themselves. Site specs in, priced quote out, before they leave the parking lot.
The problem
Quotes lived in a single Excel file owned by the founder. Every walkthrough produced a paper form that had to be re-keyed, sanity-checked, and rounded into a number, usually the next day. The lag killed deals at the smaller end of the book, and the bigger jobs were inconsistent because each rep priced from memory.
What they needed was the spreadsheet, on a phone, in a form that respected how they actually walk a building.
What we built
A custom quoting app modeled directly on their pricing logic (the same multipliers, floor types, and service tiers they already used), wrapped in an intake flow that mirrors the walkthrough.
Reps enter square footage, fixture counts, frequencies, and add-ons. The app handles the math, formats a clean quote, and emails it to the prospect from the rep's address before they leave the site.
The owner kept editing rights on the pricing model. When margins or labor rates change, they update one screen and every future quote uses it.
How it works in the field
Open on a phone. Pick a service type. Walk the building, tap inputs as you go. Review the line items. Send.
No login friction and no separate calculator. Nothing to copy-paste from email back to the spreadsheet.
What changed
Quotes now go out during the visit instead of the next morning. The owner stopped being the bottleneck on every priced job, and the pricing logic stopped drifting between reps. The Excel sheet is archived.
